Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). This data is taken and held as part of Charitable Shopping’s third party Google Analytics, Google Tag Manager and Wordfence plug-in providers.

This includes the data that we receive when you create a profile on our website and make use of that profile, such as your username and password, third party Retail purchases made by you, your interests, preferences, feedback and survey responses.

This includes information about how you use our website and the Retailer websites, limited to the data in section C above.

This includes your preferences in relation to whether or not you want to receive marketing from us and our third parties and also your communication preferences.
Special Categories of Personal Data
We do not collect any the special categories of personal data about you. Special categories of personal data would include details about your:
- dietary requirements which may disclose your religious or philosophical beliefs;
- race or ethnicity;
- sex life and/or your sexual orientation;
- political opinions;
- trade union membership;
- genetic and biometric data.
We collect and process the above data only where it is strictly necessary to do so in order to track the amount of your purchase and transfer the charitable donation over to your chosen charity. Furthermore, we will only collect and process the above special categories of sensitive personal data where you have provided us with your explicit consent to do so.
You are not under any obligation to consent to us processing your sensitive personal data. However, without your consent, we won’t be able to make the necessary arrangements to transfer your charitable donation over to your chosen charity. As a result, if you do not provide your consent, we will be unable to transfer your charitable donation. If you are happy to consent to our use of your sensitive personal data, you will also be able to withdraw your consent at any time. However, this may affect our ability to perform the contract we have or are trying to enter into with you.
If you fail to provide personal data
Where we need to collect personal data by law or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you.
In other words, where we require details from you in order to track the amount of your purchase and transfer your charitable donation over to your chosen charity, if you do not provide us with the necessary details then we will not be able to initiate the transfer.
We use different methods to collect data from and about you including through:

You may give us your Identity and Contact by filling in forms or by corresponding with email or our support ticket system. This includes personal data you provide when you:
- create an account on our website;
- subscribe to our newsletter or other publications;
- request marketing to be sent to you;
- provide us with information relation to the charity or cause that you have decided to support, as part of the donation process;
- Automated technologies or interactions
As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions and patterns.

We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising.
We have established the following personal data control mechanisms:
Promotional offers from us
We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).
You will receive marketing communications from us if you have requested information from us or purchased services through us and, in each case, you have not opted out of receiving that marketing.
We will get your express opt-in consent before we share your personal data with any third party company, such as internal third parties like Charitable Travel.
You can ask us or third parties to stop sending you marketing messages at any time by updating your profile preferences through our website, contacting our DPO or contacting us stating clearly OPT OUT in the subject line and providing your full name and email address. Note that changes made may take 72 hours to implement.
Where you opt out of receiving these marketing messages, this will not apply to personal data that you have provided to us as a result of you registering to open an account with us, donations or other such transactions.
We may monitor, record, store and use any telephone, email or other communication with you in order to check any instructions given to us, for training purposes, for crime prevention and to improve the quality of our customer service.
Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.
If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
Many of our external third parties are based outside the European Economic Area (EEA) so their processing of your personal data will involve a transfer of data outside the EEA.
Where you have requested to make a purchase from an online shop which is located or otherwise due to be fulfilled outside the EEA, we will have to transfer your personal data to the suppliers or partners processing your purchase outside the EEA in order to track the amount and for those suppliers to be able to provide you with your purchase and verify this to us to allow us to transfer the charitable donation over to your chosen charity. Where we are unable to rely on one of the safeguards outlined below when transferring data to those suppliers outside the EEA, we will rely on the derogation under Article 49 of the GDPR in order to transfer your personal data to countries outside the EEA (as the transfer relates to the performance of a contract for your benefit), and you hereby permit us to do so. You also acknowledge that where your personal data is transferred outside the EEA, controls on data protection may not be as wide as the legal requirements within the EEA.
For all other transfers of data, whenever your personal data is transferred outside the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
How long will you use my personal data for?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting, or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.
Our retention periods is reviewed annually in a manual audit process during January of each year. Where any username that has been inactive for the full prior calendar year will be deleted from our database. For further information, please feel free to contact us.
By law we have to keep basic information about our customers (including Contact, Identity, and Transaction Data) for [six] years after they cease being customers for tax purposes.

No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). This is available through your profile on our website. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

means the interest of our business in conducting and managing our business to enable us to give you the best service and the best and most secure experience. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law). Other companies in the Fundraising Futures Community Interest Company Group, such as Charitable Travel, acting as joint controllers and who are based within the EU and provide travel arrangements, IT and system administration services.

(i) Service providers including North Marketing OY based in Finland who provide IT and system administration services.
(ii) HM Revenue & Customs, regulators and other authorities upon justified statutory need based [in the United Kingdom who require reporting of processing activities in certain circumstances.
YOUR LEGAL RIGHTS
You have the right to:
- Request access
to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
- Request correction
of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
- Request erasure
of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law.
